Terms of Service
By using Certiva, you agree to these terms. Please read them carefully. They explain your rights, your responsibilities, and how Certiva operates.

Acceptance of Terms
By creating an account, submitting a verification application, or using any part of the Certiva platform, you agree to be bound by these Terms of Service and our Privacy Policy.
If you do not agree to these terms, you must not use the Certiva platform.
These terms apply to all visitors, registered users, and anyone else who accesses or uses the Certiva platform.
These Terms of Service constitute a legally binding agreement between you and Certiva. If you are using Certiva on behalf of a business, you represent that you have the authority to bind that business to these terms.
Who Can Use Certiva
To use the Certiva platform, you must meet all of the following requirements:
- You must be at least 18 years of age
- You must be a human individual — automated accounts and bots are not permitted
- You must provide accurate, truthful, and complete information during registration and verification
- You must not be prohibited from using Certiva under the laws of your country of residence or any other applicable jurisdiction
- You must not have had a Certiva account previously terminated for violation of these terms
By using Certiva, you represent and warrant that you meet all of these eligibility requirements.
One Account Per Person
Each individual may hold only one Certiva account. Creating multiple accounts to circumvent a suspension, rejection, or to obtain multiple credentials of the same type is strictly prohibited and will result in permanent termination of all associated accounts.
Your Account
Account Registration
When you create a Certiva account, you must provide accurate and complete information. You are responsible for keeping your account information current and accurate at all times.
Account Security
You are responsible for maintaining the confidentiality of your account password and for all activity that occurs under your account. You must:
- Choose a strong, unique password for your Certiva account
- Never share your account credentials with any other person
- Notify Certiva immediately at support@certiva.space if you suspect unauthorized access to your account
- Log out of your account when using shared or public devices
Certiva will not be liable for any loss or damage arising from unauthorized use of your account where you have failed to keep your credentials secure.
Account Accuracy
You agree not to misrepresent your identity, submit false documents, or provide inaccurate information at any point during registration or the verification process. Providing false information is grounds for immediate account termination and may constitute fraud under applicable law.
Verification Services
What Certiva Does
Certiva provides a verification service that reviews submitted identity and business documents and issues trust credentials to applicants whose information has been successfully verified. Certiva issues three credential types:
- IRN — Identity Reference Number: verifies individual identity
- BRN — Business Reference Number: verifies business legitimacy
- TMV — Trusted Merchant Verification: verifies merchant credibility
What Certiva Does Not Do
Certiva is not a government authority. Certiva credentials are not government-issued documents and do not replace official identification for legal, governmental, or regulatory purposes where official identification is specifically required.
Verification Decisions
Certiva reserves the right to approve, reject, request additional information, or suspend any verification application at its sole discretion. Certiva's verification decisions are final.
Certiva does not guarantee that every application will result in credential issuance. Submitting an application and paying the verification fee does not guarantee approval.
Verification Timeframes
Certiva will make reasonable efforts to review applications within 24 to 48 hours of submission. However, Certiva does not guarantee any specific timeframe for verification review. Complex applications or high application volumes may result in longer review periods.
If your application requires more information, you will receive an email explaining what is needed. You are responsible for resubmitting the required information within a reasonable timeframe. Certiva reserves the right to close applications that remain incomplete for an extended period.
Accuracy of Submitted Information
You are solely responsible for the accuracy of all information and documents submitted to Certiva. Submitting altered, falsified, or fraudulent documents is a serious violation of these terms and may result in criminal liability under applicable law.
Payments and Refunds
Pricing
Certiva charges a one-time fee for each verification application:
- IRN — Identity Reference Number: $49
- BRN — Business Reference Number: $99
- TMV — Trusted Merchant Verification: $119
Prices are displayed in United States Dollars (USD). Certiva reserves the right to change pricing at any time. Price changes will not affect applications already submitted and paid.
Payment Processing
All payments are processed by a third-party payment processor. By making a payment, you also agree to the payment processor's terms of service. Certiva does not store your payment card information.
No Refund Policy
All verification fees are non-refundable once an application has been submitted.
Certiva operates a strict no-refund policy. The verification fee covers the cost of reviewing your application regardless of the outcome. If your application is rejected, the fee is not refunded. If your application requires more information and you choose not to resubmit, the fee is not refunded. By submitting an application, you acknowledge and accept this policy.
Bundled Applications
When a BRN or TMV application includes identity verification because the applicant does not hold an active IRN, the identity verification is included at no additional charge within the BRN or TMV fee. No separate IRN fee is charged in this case.
Credentials and Certificates
Credential Issuance
Upon successful verification, Certiva will issue a unique credential number in the format XXX-XXXX-XXXX-XXXX and generate a digital certificate associated with that credential.
Credential Validity
Credentials are valid indefinitely unless:
- The credential is suspended by Certiva for violation of these terms
- The credential is revoked by Certiva following detection of fraud or misrepresentation
- The underlying documents expire and the holder does not provide updated documentation when requested
- The account associated with the credential is terminated
One Credential Per Entity
Each individual may hold only one active IRN. Each business entity may hold only one active BRN. Each merchant entity may hold only one active TMV. Attempting to obtain duplicate credentials is prohibited.
Public Registry
Your credential number, credential type, full name, verification status, and issue date will be listed in Certiva's public verification registry. This listing is a core feature of the Certiva service and cannot be opted out of while your credential remains active.
If you wish to remove your information from the public registry, you must request deletion of your account and credential.
Credential Suspension and Revocation
Certiva reserves the right to suspend or revoke any credential at any time if:
- Fraudulent or falsified documents are discovered after issuance
- The credential holder violates these terms of service
- A legal authority requires suspension or revocation
- The credential holder requests suspension or deletion
Certiva will make reasonable efforts to notify credential holders of suspension or revocation via email.
Prohibited Conduct
You agree not to use the Certiva platform to do any of the following:
- Submit false, altered, or fraudulent identity or business documents
- Impersonate any person or entity or misrepresent your affiliation with any person or entity
- Attempt to obtain a credential on behalf of another person without their explicit consent and authorization
- Create multiple accounts or attempt to circumvent an account suspension or ban
- Use Certiva credentials for any illegal purpose or in violation of any applicable law
- Attempt to reverse engineer, hack, or compromise the security of the Certiva platform
- Use automated tools, bots, or scripts to access or interact with the Certiva platform
- Interfere with or disrupt the Certiva platform or servers
- Attempt to access any part of the platform you are not authorized to access
- Use the public verification registry to harvest personal information or conduct mass lookups for commercial purposes
- Share or resell your Certiva account or credentials to any other person
Violation of any prohibited conduct may result in immediate account termination, credential revocation, and where applicable, referral to law enforcement authorities. Certiva takes fraudulent use of its platform extremely seriously.

Platform Availability
Certiva does not guarantee that the platform will be available at all times. The platform may be temporarily unavailable due to maintenance, technical issues, or circumstances beyond Certiva's control.
Third Party Acceptance
Certiva credentials are issued by Certiva as a trust signal. Certiva does not guarantee that any third party, platform, marketplace, or organization will accept or recognize Certiva credentials. The decision to accept a Certiva credential rests entirely with the receiving party.
To the maximum extent permitted by applicable law, Certiva shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of, or inability to use, the Certiva platform — including but not limited to loss of data, loss of revenue, or reputational harm. Certiva's total liability to you for any claim arising from these terms shall not exceed the amount you paid to Certiva in the 12 months preceding the claim.
Termination
Termination by You
You may close your Certiva account at any time by submitting a deletion request through the Contact page. Closing your account will result in the revocation of all active credentials associated with your account. Paid verification fees are non-refundable upon account closure.
Termination by Certiva
Certiva reserves the right to suspend or terminate your account and revoke your credentials at any time, with or without notice, if:
- You violate any provision of these Terms of Service
- You provide false or fraudulent information during registration or verification
- Your account is associated with fraudulent, abusive, or illegal activity
- Certiva is required to do so by law or court order
Effect of Termination
Upon termination of your account:
- Your access to the Certiva platform will be immediately revoked
- All active credentials will be suspended or revoked
- Your credential listing in the public registry will be updated to reflect the revoked status
- Your personal data will be handled in accordance with our Privacy Policy and applicable data retention obligations
Governing Law
These Terms of Service are governed by and construed in accordance with applicable law. Any disputes arising from these terms or your use of the Certiva platform shall be resolved through good-faith negotiation between the parties.
If a dispute cannot be resolved through negotiation, it shall be submitted to binding arbitration. You agree to resolve disputes individually and not as part of any class action or representative proceeding.
If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
